A Simple Reply Formula

Thank them → Mention the experience → Respond clearly → Offer a next step if needed

Positive Review

Example: “Thank you for visiting us, Maria. We’re glad you enjoyed the quick service and your lunch. We appreciate you taking the time to share your experience.”

Neutral Review

Example: “Thank you for the feedback, James. We’re glad part of your visit went well, and we appreciate your note about the wait time. We’ll share it with our team.”

Negative Review

Example: “Thank you for letting us know about your experience. We’re sorry the visit did not meet expectations. We’d like to understand what happened—please contact us directly so we can look into it.”

What to Avoid

Do not argue

A public back-and-forth can make the problem bigger.

Do not post private details

Move account, order, payment, health, or personal information to a private conversation.

Do not copy the same reply everywhere

Use the customer's actual comment so the response feels real.

Do not flag a review just because it is negative

Google says removal is for reviews that violate its policies, not simply reviews a business dislikes.

Your approved reply appears publicly under the review. Google says the customer is notified when you reply, and the customer can still edit their review afterward.
